Challenge

When Queen's University Belfast students submitted appeal applications related to their academic performance, progression, or awards, the process was heavily paper-based. This placed immense pressure on already resource intensive administrative workload. 

For staff it was laboursome and time consuming and for students, the experience lacked clarity; creating inefficiencies for both parties. 

 

Solution we designed

Codec partnered with Queen's University to deliver an integrated digital solution for managing academic appeals using Microsoft Power Platform.

The solution featured a student-facing portal built on Power Pages, providing a seamless and user-friendly experience for students. 

Students are now able to:

  • Submit appeals digitally 
  • Track progress in real time 
  • Manage communications and documentation securely in line with procedural and GDPR standards. 

The staff-facing backend was developed using Power Apps, Power Automate, and Dataverse.  

Students are now able to:

  • Ensure efficient triage and processing of appeals within policy timelines.
  • Schedule and manage appeal meetings and coordinate panel members
  • Securely share and store documents to ensure confidentiality and compliance

The system also maintained comprehensive audit trails, enhancing transparency, accountability, and adherence to both internal and external regulatory obligations.

Optimising the university’s student appeals procedures

Managing academic appeals is a critical function for universities, ensuring fairness and compliance with academic governance. Previously, this process was a manual, paper-based workflow that created inefficiencies, increase administrative burden, and prolong resolution times for students.

At Queen’s University Belfast, these challenges impacted transparency and operational efficiency whilst also demanding strict adherence to regulatory and GDPR requirements.

The need for a secure, scalable, and policy compliant solution became clear to support both students and staff in navigating complex appeal procedures proficiently.

Solution

Enhancing academic appeal management through a unified digital platform

Working collaboratively with the University’s teams, Codec developed a user-friendly online portal and staff backend application to streamline the academic appeals process.

The student-facing portal offers secure, real-time access for submitting and tracking appeals, while the staff backend system enables efficient case management, documentation control, and compliance assurance.

Both components were designed and delivered using Microsoft Power Platform technology, ensuring seamless integration, transparency, and adherence to institutional standards. 

  • Microsoft Power Platform (Power Apps, Power Automate, and Dataverse) provided the central architecture for these solutions.

  • Each solution was securely connected to a shared dataverse, ensuring data consistency and compliance across all user groups.

  • Shared architecture and automation capabilities improved efficiency, reduced administrative burden, and supported end-to-end accountability.

 

Using Microsoft Power Pages, Codec created an intuitive, accessible portal where students can digitally submit academic appeals, manage documentation, and track progress in real time.

On the backend, staff can triage and process cases efficiently, schedule and manage meetings, and maintain full audit trails - ensuring transparency and regulatory compliance throughout the entire appeals process.
