Enabling more efficient, intelligent frontline labour management for daa

Project at a glance

Challenge

Dublin Airport Authority (DAA) needed a new time management solution that could support bulk shift swapping, maintain compliance with local labour laws, and reduce resource waste affecting both frontline workers and managers.

Solution we designed

Codec’s consultants convinced daa to develop its own custom mobile application through Microsoft Power Platform, leveraging a number of important solution benefits and efficiencies aligned with daa’s needs and goals.

Impact we delivered

  • A shift from Excel-based shift swap management to streamlined, real-time requests and approvals.
  • Reduced reliance on DAA’s existing time management solution in favour of expanding its Microsoft ecosystem.
  • Future flexibility to update or adapt the mobile app in response to compliance and other business needs.
  • A successful use case of Microsoft Power Platform, increasing internal support and advocacy for future transformation projects.

Problem

Combating administrative overhead on frontline shift swaps

Part of the management of shift work at Dublin Airport Authority (DAA) involves adhering to Ireland’s Working Time Act, which requires that all frontline worker shifts are adequately spaced to provide periods of rest.

When frontline shift workers need to swap their shifts in bulk with other workers, they’re left to handle this task on their own, which can be a tedious and complicated process for all workers involved in the swap. Even then, management oversight and approval is required for each proposed swap.

DAA’s existing time management system didn’t allow for bulk swapping of worker shifts, which meant the task of swapping shifts generated significant overhead for both users and management. The organisation needed a new solution that could support bulk shift swapping while maintaining compliance and reducing resource waste.

“Inefficiency is one of the greatest unseen sources of business waste and expense, creating a drag on productivity and profit that could easily be eliminated with modern technology and capabilities. Eliminating DAA’s shift management waste was our top priority.”

Solution

Taking ownership of a custom-built time management app

Rather than onboarding a replacement time management solution that lacked certain features needed to meet local compliance, Codec’s consultants convinced daa to develop its own custom mobile application through Microsoft Power Platform.

Power Platform offers a number of key benefits and efficiencies aligned with daa’s needs and goals. The solution could be easily integrated with the organisation’s existing Microsoft ecosystem, and it provided a cost-effective, fast and flexible option for building a mobile experience that fully served the needs of both workers and management. Power Platform, along with Azure DevOps, provided better environments to support Application Lifecycle Management (ALM), and the user-friendly development solution also made it easy to add new features over time.

Through Microsoft Power Apps, Power Automate and other capabilities available within Microsoft Power Platform, daa was able to design, develop and launch a mobile application that fully supported frontline worker shift swaps for a workforce of approximately 600 people. Meanwhile, Codec and daa have continued to use Power Platform to create advanced solutions to other challenges facing the organisation.

Results

A mobile app to alleviate all pain points

After successful development and testing of its mobile application, daa successfully launched its new time management app across its frontline workforce. This custom-built solution immediately delivered impact by simplifying a time- and resource-intensive process for everyone else.

Other highlights of this transformation include:

  • A shift from Excel-based shift swap management to streamlined, real-time requests and approvals.
  • Reduced reliance on DAA’s existing time management solution in favour of expanding its Microsoft ecosystem.
  • Future flexibility to update or adapt the mobile app in response to compliance and other business needs.
  • A successful use case of Power Platform, increasing internal support and advocacy for future transformation projects.

“From a personal point of view, the app development has exceeded my expectations in terms of design and usability. The WSO team members are also praising our custom mobile app in terms of its design and the SharePoint backend.”
